Agree on the delivery before the first inquiry.

A delivery channel is useful when someone owns it. Decide where a new inquiry should appear, who reviews it and how your team records the next step before enabling a campaign.

Email with a consistent field set

Choose a monitored business inbox and a backup recipient. Define the project details your office needs: the service requested, property location, homeowner context, timing and source reference. Agree which fields are required and how missing information is identified. A familiar subject line and consistent format can help the office find and review requests. Avoid including unrelated personal information or treating an email opening as proof that an inquiry was worked.

Text alerts with an appropriate scope

Choose the business numbers and team members who should receive lead alerts. Keep an alert relevant to the handoff and provide a way to reach the detailed record where that workflow is available. Distinguish a notification to your team from outreach to a homeowner; they have different recipients and purposes. Configure opt-outs, delivery failures and recipient changes rather than assuming every text will arrive.

CRM mapping and delivery evidence

Confirm platform access, account permissions and the fields your CRM can accept. Decide how records are identified, which pipeline or owner receives them and how duplicates are handled. Test the agreed email, SMS or CRM route using clearly marked test records. Record the attempt, provider response, failure and retry so the same inquiry is not silently duplicated. A provider accepting a message is different from a person reviewing it.

Close the loop with your office

Track the next useful milestones: reviewed, contact attempted, conversation held, estimate arranged and final outcome. Use a common inquiry reference so delivery events and sales outcomes can be compared. Available routes, qualification criteria and commercial terms are confirmed during setup. Discuss your trade and territory before choosing the final workflow.
